Privacy Policy
Last updated: 20 June 2026
This Privacy Policy explains how Epic Grove Ltd (“Epic Grove”, “we”, “us”, “our”) handles personal data in connection with our company website at epicgrove.ltd (the “Site”).
Our individual products — Veriphone, Stoky and SideBook — are separate services with their own privacy policies. Those policies, not this one, govern any data you provide inside those products.
1. Who we are
Epic Grove Ltd is the data controller for personal data processed through this Site. We are a company registered in England & Wales (company number [company number]), with registered office at [registered office address].
For any privacy question, email hello@epicgrove.ltd.
2. What this policy covers
This policy applies only to the Epic Grove marketing/company website at epicgrove.ltd. It does not cover the products listed above, third-party websites we link to, or any service operated by another company. Each of our products has its own privacy policy available on its website.
3. What we collect
The Site is intentionally lightweight. It has no user accounts, no sign-up, and no contact forms, so we do not ask you for personal data simply to browse it. The limited data we may process is:
- Messages you send us. If you email us (for example, at hello@epicgrove.ltd), we receive your name, email address and the contents of your message, and any information you choose to include.
- Technical data & server logs. Our hosting provider may automatically record standard technical information — such as your IP address, browser type, the pages requested and timestamps — to keep the Site secure and reliable.
- Web fonts. The Site loads typefaces from Google Fonts. To serve them, your browser connects to Google’s servers, which may receive your IP address; that processing is subject to Google’s own privacy policy.
4. How & why we use it
Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we rely on the following lawful bases:
- To respond to your enquiries — our legitimate interest in answering people who contact us, or taking steps at your request before any contract.
- To keep the Site secure and working — our legitimate interest in protecting and maintaining our website.
- To meet legal obligations — where the law requires us to retain or disclose certain information.
7. International transfers
Some of our providers may process data outside the United Kingdom. Where they do, we rely on appropriate safeguards — such as a UK adequacy decision or the UK International Data Transfer Agreement (IDTA) / Addendum — so your data remains protected.
8. How long we keep it
We keep email correspondence only for as long as needed to deal with your enquiry and for our reasonable record-keeping, and then delete it. Server logs are retained for a limited period by our hosting provider for security and diagnostics.
9. Your rights
Subject to certain conditions, you have the right to: access the personal data we hold about you; ask us to correct or erase it; restrict or object to our processing; request portability; and withdraw any consent you have given. To exercise any of these, email hello@epicgrove.ltd.
You also have the right to complain to the UK’s supervisory authority, the Information Commissioner’s Office (ICO), at ico.org.uk. We’d appreciate the chance to address your concern first.
10. Children
This Site is intended for a general, business audience and is not directed at children. We do not knowingly collect personal data from children through it.
11. Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Significant changes will be made prominent on this page.
12. Contact
Questions about this policy or your personal data? Email hello@epicgrove.ltd, or write to Epic Grove Ltd at [registered office address].
